Tips for The Wedding Day Custom Email

Wedding planning and communication is made so much easier by email.  One of the things that I make a priority is responding to client emails a few times a day so that I don’t encounter a backlog.  With technology the way that it is today, email can be just as fast in getting information than trying to reach someone by phone.  Often times, if a client calls me on the phone, I ask them to follow-up via email or that I will get back to their needs via email.  This allows me to create a chain of communication should I need to refer to the conversation at a later date or if I happen to be looking for information after business hours.

A newer trend is for the couple to create a wedding day email account.  Email is free so this is almost a no brainer way to keep all wedding day communication in one account.  If a couple has one, this is how I communicate with them.  If not, I communicate with whoever is responsible for photography and cc’ing the other as needed.

I love how simple or how cute the email can be, almost like the wedding day hashtag.  As long as it’s an account the couple checks on a regular basis it’s great.

So here’s the tip to making this an effective way of communication.

1- Check the email account daily when wedding planning.  Chances are, your wedding professionals will email you at different points during your wedding planning with information that you may need to respond to, so checking the account daily will ensure there are no substantial gaps in communication and getting what you desire for your day.

2- Check the email account after the wedding.  After the wedding, I have deliverables for the couple (i.e. photos!!).  There are also about 60% of my couples that order wedding albums from me.  I deliver ordering instructions after the wedding day once the photo gallery is ready, so if a couple stops checking the account it slows down the process of getting their wedding photography products to them.

3- Provide an alternate email address.  In the case the email account isn’t attached to your smart phone, it could be a little harder to remember to check the account when life is going 100 mph.  It’s best to make sure there is an alternate account provided to your wedding vendors, especially your photographer, so there is no delay is product order and delivery!

Ultimately, do what works best for you and your spouse (spouse-to-be) and enjoy the process and above all else, remember that you’re married or getting married and that’s the most important goal in the end!
